Rentals Terms and Conditions
To best serve you and prepare for your event, the following established terms, conditions, and guidelines are in place to uphold the integrity of your event within the National Constitution Center.
Registration
The NCC does not permit event registration to be open to the general public. The Event shall be private and include only invited bona fide guests of the Event Sponsor, whose invitations and identity shall be verified prior to entrance.
Client should maintain an event RSVP list. A registration function must be used to check in guests on the day of the event.
Advanced ticket sales to a curated list of invitees are not permitted unless the Event Sponsor is a 501c3 nonprofit organization. Proof of status is required prior to contracting with the exception of high school or university proms.
Walk-up registration is not permitted as a final guest count/guarantee is due 10 business days prior to the event. We do not allow any credit card machines, cash payment, or check payments for tickets on site. Tickets must be reserved in advance.
Events that are free to attend are still required to have an event registration process to generate an RSVP list and provide a guaranteed number of attendees 10 business days prior to the event.
Transparency of event details and content
Client should communicate openly with the Events Department to ensure that the NCC is able to plan for all possible event scenarios and prioritize the safety of event guests, staff, and the facility. Transparently sharing information about the event agenda, programming, speakers and content will improve the event planning process.
Lack of communication affects the NCC’s ability to accommodate your requests and may result in unexpected client fees (including, but not limited to additional event support and security).
The NCC is accustomed to working with high profile individuals and understands and respects the level of confidentiality that is required in these cases. In instances where high profile guests or speakers will be part of the event, the NCC requires clients to share this information as soon as possible to eliminate any complications in the planning process including additional security measures or logistical complications that may arise. The NCC may be willing to explore NDA contracts if client desires.
The Event must not interfere with museum operations. The NCC will not alter standard building operations or reassign NCC staff for the Event.
Event Contracts
The National Constitution Center requires all clients to sign an event contract. Event contracts must be executed by both parties prior to the event taking place at the National Constitution Center. A contract between the Event Sponsor and the Center’s exclusive on-site caterer, Rhubarb Hospitality Collection, must be executed simultaneously; we cannot countersign one contract without the other.
